How it works
From what was said to what gets done, in one chain. Each step is designed to point back to the one before it, so anything in it can be traced to where it was said or written.
Illustrative example Midfield rebrand
Midfield is a fictional client, and every name, time, and line in this tour is invented. You run a small design studio. On a weekly call about the Midfield rebrand, the logo review is moved and the client promises the brand guidelines. The tour follows that one call from the moment you bring it in to a follow-up that goes out only after you confirm it.

You choose what comes in
Calls, recordings, notes, and documents are designed to come in only when you bring them. A recording is an input, never the product.
Clarni is designed to turn recordings into searchable transcripts on your own device.Status: Planned
Nothing you capture is sent to an AI provider until you trigger an AI action and have opted in to a cloud provider.Status: Planned
What you control: You are meant to pick each source and the project it belongs to. Nothing is designed to be brought in without you.
- Recording Weekly sync with Midfield Chosen by you
- Document Brand guidelines, working copy Chosen by you
Nothing else from your week is brought in.
- Planned
Every source keeps a receipt
What comes in is designed to stay as evidence: the excerpt, the speaker where known, and the timestamp that everything later points back to.
Each decision, commitment, or task can show the source it came from, such as a transcript excerpt and timestamp.Status: Planned
What you control: You are meant to be able to open the receipt behind any item and check it against what was actually said or written.
- Receipt 08:15 Midfield brand lead: “I will send the final brand guidelines by Thursday.”
- Receipt 12:34 Midfield brand lead: “Agreed, the logo review moves to next Tuesday.”
- Receipt 14:02 Studio designer: “Print proofs cannot start until the guidelines arrive.”
- Receipt p. 3 Brand guidelines, working copy: “Final colour values to follow.”
- Planned
Suggestions arrive as proposals you review
Clarni is designed to suggest what came out of the conversation. Each suggestion stays a proposal, with its receipt attached, until you review it.
AI-suggested commitments and tasks are proposals you review first; Clarni does not silently assign obligations.Status: Planned
What you control: You are meant to confirm, edit, or reject each proposal. Extraction can be wrong, so nothing is designed to enter the record without your review.
- Proposed decision Logo review moves to next Tuesday Receipt 12:34 Confirmed by you
- Proposed commitment Midfield sends the final brand guidelines by Thursday Receipt 08:15 Edited by you: owner set to the Midfield brand lead
- Proposed task Update the design schedule for the Tuesday review From the decision Confirmed by you: owner set to you
- Proposed risk Print proofs slip if the guidelines arrive late Receipts 14:02 and p. 3 Confirmed by you
- Proposed task Send the guidelines to the printer Receipt 14:02 Rejected by you: nobody agreed to this
- Planned
Decisions, commitments, tasks, and risks stay distinct
Once you confirm them, items are designed to be kept as different kinds of record, each linked to the receipt it came from and to the items it affects.
Clarni turns conversations and artifacts into decisions, commitments, tasks, and risks that each point back to their source.Status: Planned
What you control: You are meant to see why something is a decision rather than a task, and to follow each link back to its source.
- Decision Logo review moves to next Tuesday Receipt 12:34 Changes the task below
- Commitment Midfield sends the final brand guidelines by Thursday Receipt 08:15 Owner: Midfield brand lead. Owed to: your studio
- Task Update the design schedule for the Tuesday review From the decision Owner: you
- Risk Print proofs slip if the guidelines arrive late Receipts 14:02 and p. 3 Threatens: the Thursday commitment
Five terms, kept apart
In the example, one call leads to all five. They are designed to stay distinct rather than blur into one list of action items.
- Decision
A choice that was made, with rationale and history.
Midfield rebrand: The logo review moves to next Tuesday.
It changes the plan but asks nothing of anyone by itself. A later decision can supersede it, and the history is kept.
- Commitment
A promise by a person or team to deliver an outcome for someone.
Midfield rebrand: Midfield sends the final brand guidelines by Thursday.
It has an owner and someone it is owed to. A suggested commitment is designed to stay a proposal until you confirm it.
- Task
Tracked work that must happen.
Midfield rebrand: Update the design schedule for the Tuesday review.
It is the next piece of work, often following from a decision or a commitment. Clarni is not designed to replace your task tracker.
- Risk
A tracked threat to delivery.
Midfield rebrand: Print proofs slip if the guidelines arrive late.
It is something that could break the plan, not something anyone promised. It is tracked, not scored.
- Draft
A piece of communication grounded in sources you select, which you edit and approve.
Midfield rebrand: The follow-up to the Midfield brand lead.
It is not a record of what was agreed; it is communication about it. It is designed to send nothing until you confirm an action.

A current project state you can trust
What is true now across decisions, commitments, tasks, and risks, with the history of what changed and when.
A project ledger keeps a history of decisions and risks so you can see what changed over time.Status: Planned
What you control: Each item is designed to be traceable to its source, with earlier versions kept in the history.
Why not a meeting summary? A summary tells you what one meeting said. The project state is meant to tell you what is true now across every meeting and document, including what a later conversation changed.
- Decision Logo review: next Tuesday Receipt 12:34 History: was this Friday, set in an earlier sync
- Commitment Brand guidelines from Midfield by Thursday Receipt 08:15 Open
- Task Update the design schedule From the decision Open, owner: you
- Risk Print proofs slip if the guidelines arrive late Receipts 14:02 and p. 3 Tracked

What needs you next
Our aim is to bring forward only what needs a person next, such as proposals waiting for review and commitments coming due, instead of a feed of everything.
Our aim is an attention queue that brings forward what needs you next, such as proposals waiting for review and commitments coming due, each with its source.Status: Design direction
What you control: You decide what to act on. We are exploring a queue that suggests where to look; acting on it stays with you.
- Commitment due Midfield sends the final brand guidelines by Thursday Receipt 08:15 Due tomorrow. Not marked as delivered
- Risk Print proofs slip if the guidelines arrive late Linked to the commitment Affected if the commitment is missed
- Task ready Update the design schedule From the decision Unblocked: the decision is confirmed

A follow-up drafted from the sources you select
Clarni is designed to draft a follow-up from the records and receipts you pick, so every line can be checked against where it came from.
Clarni can draft follow-ups and updates from your selected sources, and each draft stays editable and versioned on your device.Status: Planned
What you control: You are meant to choose the sources, edit every word, and keep earlier versions. The draft view is designed to send nothing.
- To Midfield brand lead
- Line 1 Following up on our weekly sync: the logo review moves to next Tuesday. Receipt 12:34
- Line 2 Could you send the final brand guidelines by Thursday, so print proofs can start on time? Receipts 08:15 and 14:02
Not sent. The draft view sends nothing.
- Planned
Nothing goes out until you confirm it
When you decide to act, Clarni is designed to show what will be sent and where, and to wait for your explicit confirmation immediately before it happens.
Clarni is designed so nothing is sent to an email, chat, or document system without your explicit confirmation immediately before it happens.Status: Planned
What you control: You are meant to confirm each external action yourself, just before it happens, or cancel it. No step in this tour is designed to act without you.
- Action Send the follow-up, version 2, by email
- To Midfield brand lead
- Content The draft text only, as you last edited it
- State Waiting for your confirmation
If you cancel, nothing is sent and the draft stays on your device.

The boundary at every step
Work data is designed to stay on your device at every step. It is designed to cross that boundary only when you choose.
Clarni is designed to keep your work data on your own device, encrypted, with cloud AI only if you explicitly choose it.Status: Planned
